Room Rentals
Host your next party or gathering at the SunCrest Clubhouse!
We have several room rental options available to SunCrest residents at the Clubhouse. Each rental includes the setup and takedown of tables and chairs. There are 6' banquet tables, 4.5' diameter round tables, and folding chairs available.
A BBQ grill is available for an additional flat fee of $20 for the Family Room, Sunset Room, and Cabana. Food can be brought into the rooms; however, no cooking or refrigeration appliances are available for use.

Room Rental Rules and Regulations
Eligibility:
- Room rentals are available exclusively to SunCrest residents in good standing who have no outstanding balances or current violations and who comply with the CC&Rs, Design Guidelines, and Bylaws.
- Residents may invite non-residents (family and friends) to attend events held in the rented space.
Restrictions:
- Reservations are limited to 4 hours maximum.
- Residents may only reserve one room per day.
- Only one room may be reserved at a time.
- Reservations cannot be made more than four months in advance.
- An estimated number of attendees is required prior to the event.
Fees & Payment:
- Rental fees apply to all room reservations.
- Payment is due one week after the event or function is initially booked via cash or check (payable to SunCrest OA).
- Please contact the clubhouse office to inquire about availability and reserve your desired dates.
Additional Rental Regulations:
- All SunCrest OA-organized community events and standing Clubhouse reservations will have priority over other private requests. All private rental requests will be processed on a first-come, first-served basis.
- The renting party must be present for the duration of the event. The renting party also assumes full responsibility for the conduct of their guests and for any damage or disrepair to the facility. The renting party is responsible for informing their guests of all the rules and regulations.
- Smoking, use of tobacco products, as well as vaping, is not allowed in the Clubhouse or on Clubhouse property.
- There are no kitchen facilities available for use.
- All items brought into the Clubhouse/Village Green by the renting party, including rental equipment, must be removed from the facility on the day of the rental.
- We allow 30 minutes between parties for set up and take down, if your set up and take down will take more than 30 minutes you must include that in your rental time and hourly rate will apply. Please be respectful of other scheduled events, as they are also paying for the time that they reserved the space for.
- Any damages to the facility, including floors, carpet, tile, furniture, walls, tables, and chairs, etc., will be charged to the resident who has signed the agreement and will be charged to the homeowners' SunCrest OA account. If you are a renter of a home in SunCrest and there are damages, as stated above, all fees will be charged to the homeowner's SunCrest OA account.
- Glitter, confetti, and wax candles are STRICTLY PROHIBITED!
- Lessee will not glue or nail anything to the walls, windows, or ceilings.
- Please do not remove or disturb any clubhouse decorations, landscaping, or fixtures. Lessee will be responsible for any damaged, moved, or missing items.
- Lessee agrees to perform the following basic pick up and cleaning of the Clubhouse during and immediately following the event:
- Please advise maintenance or front desk staff immediately of any spills so they can be cleaned up as soon as possible.
- Please notify maintenance or front desk staff immediately if the trash becomes full so it can be removed. Please DO NOT overfill the trash can.
- Completely remove all decorations. This includes tape used to secure decorations. This also includes any balloons or decorations used inside or outside the clubhouse.
- Pick up and properly dispose of trash both inside and outside the clubhouse and the surrounding outside areas caused by the event.
- If using the BBQ grill, please ensure that you turn the propane tank off when finished.
- If you are renting the Village Green and plan to use tents, you will be responsible for any damage that may be caused by driving stakes into the ground.
- Bouncy houses and fireworks of any kind, including sparklers and fire lanterns, are STRICTLY PROHIBITED due to Draper City Code and liability reasons.
The Family Room

- Located on the main level near the front entrance. Lounge chairs, side tables, and rugs cannot be removed.

- The room has a large 80" TV & sound system, Apple TV, Blu-Ray player, fireplace, and bookcases.

The Sunset Room

- Please note that the Lifeguard office is located in this room. During pool operation hours, they will need access to this office.

The Cabana
- Rate

- Includes set up and take down of tables & chairs

- Room Info
- Located on the West side of the pool deck, this open-air room provides direct access to the pool deck and features a bit of funky island flair.
- Pool Guest Passes
- You will receive 30 additional pool guest passes with your Cabana room rental. This is not included with your regular guest passes per season.
- Add-ons
- BBQ use can be added to your rental for a flat fee of $20.
- Hours For Rental
- The Cabana is available for seasonal reservations from Memorial Day weekend to Labor Day weekend, while the pool is open.

The Village Green
- Rate

- Location
- The Village Green is located at the corner of Traverse Ridge Road and Deer Ridge Drive. The Village Green offers open grassy areas, gently rolling hills, streams, a pond, and a gazebo.
- Table and Chair Rental
- $1 per chair
- $5 per table
- Staff do not set up or take down tables and chairs for reservations in the Village Green.
- Additional Information
- The Village Green may not be monetized for private financial gain or rented out to third parties.
- Reasonable volume music is allowed until 9 pm; guests must disperse prior to 10 pm.
- No barriers or barricades are allowed, and no interference with other SunCrest Village Green users is permitted.

Commercial/Instructional and Block Reservations
Commercial/Instructional Reservations: Usually have an enrollment fee or other incentive; they may also be free or have a nominal fee to cover room rental costs.
Block Reservations: Consistent, recurring reservations for activities such as clubs, etc.
All Commercial/Instructional and Block Reservations must abide by the SunCrest Rental & Instructional Use of Common Areas Policy.
Eligibility
- Organizers: Only SunCrest residents in good standing may organize commercial/instructional or block reservations.
- Participants: At least 50% of attendees must be SunCrest residents.
Reservation Limits
- Block Reservations: limited to a single block reservation per week.
- Primary Sales/Marketing Reservations: limited to a single two-hour (maximum) session per month.
- Incidental Sales Reservations: generally limited to two sessions of two hours each (maximum) per month.
- For All Reservations: Only one room may be reserved at a time.
Program Requirements
- Community Benefit: Commercial/instructional or block reservations should be for classes, clubs, or programs that are highly requested by the community and beneficial to residents.
- Attendance Verification: A roster of attendees must be submitted no later than immediately prior to the first session and must include the name of the principal renting the rooms and the addresses of the attendees.
- Business License and Insurance: Commercial uses require proof of a Draper City Business License, professional certificate, or licensure (if applicable), First Aid/CPR certification (if applicable), and liability insurance (if applicable).
Scheduling Restrictions
- Off-Peak Times & Days: Commercial/instructional or block reservations are generally unavailable during peak times or days, such as Fridays, Saturdays, or Mondays. Commercial/instructional or block reservations are limited to off-peak times and days.
- Event Flexibility: Commercial/instructional or block reservations may be canceled or moved to another room to accommodate community events, board meetings, etc.
